Tenant selection starts at the point of promoting the property. Personal inspections allow property managers to ask questions and assess responses. This process is then followed up by the formal application process, which includes:

- Customised comprehensive Application for Tenancy completed by all tenants residing at the property and contributing to the rent. For tenants convenience this form can be downloaded from our website
- Photo Identification and income details must be supplied prior to the application being processed
- Verification checklist ensuring all details are supported with written documentation and confirmation emails or phone calls to confirm authenticity of information supplied
- Tenants are checked via Tenant Referencing Databases - TICA and NTD
- Assessment of application against documented points based criteria
- Client liaison before any application is approved
The process is conducted in compliance with Privacy and Discrimination Legislation.
Guarantee
We are so careful as to whom we rent to, that we provide our property owners with the following guarantee. Any tenant placed by our firm who breaks their lease for any reason, during the first 6 months, we will waive the customary letting commission and re-rent your property to new tenants FOR FREE. (Advertising costs excluded).
To further back our performance we also guarantee to only charge one letting commission (usually the equivalent of one week's rent plus GST) in any one year. (Advertising costs excluded). We know vacancies and non performing tenants cost you money.
Once the application has been finalised a formal sign up appointment is arranged where all tenants are required to sign the tenancy agreement and pay the bond of 4 weeks rent along with the first two weeks rent. This appointment usually takes 30 to 45 minutes and we request all payments are made as "clear funds" for obvious reasons. Our office does not accept bond transfers from other agents as that effectively means you only have one bond on two properties. We believe it is safer to have the full bond payment prior to the tenant moving into the property. Once the payment is made this secures the property for the tenant and ensures their commitment is genuine. We then lodge the bond to the Residential Tenancies Authority.
Before the tenant moves into the property a detailed condition report is completed with accompanying digital photos, which are printed and kept on file. All tenants are given the opportunity to go through the report with one of our team. Many tenants appreciate this opportunity. Our motto is "Prevention is better than cure". It is imperative we are in agreement as to the condition of the property at the start of the tenancy otherwise disputes are inevitable. Whilst this can be time consuming we see this as time well spent to protect your investment to the best of our ability.
A copy of the Tenancy Agreement and Entry Condition Report will be sent to you for your records.
We recognise the importance of cultivating a balanced fair relationship with tenants, as happy tenants generally mean a well cared for property. We phone the tenant a month after moving into the property to assess their satisfaction with the property and our service.

Considerable research occurs before any Contractors work on the properties we manage. Proof of qualification and insurance must be provided together with verifiable references. We own property so we know cheapest is not necessarily the best, the quality of the workmanship is most important. We look for a balance of good reliable Contractors who are competitively priced and pride themselves on being professionals in their field.
Tenants are requested to advise of maintenance requirements in writing and can do so over the internet as well as directly to the office. Once we access the maintenance we aim to contact you and advise of our intended actions. In the event of any emergency situation we suggest we are given the same spending limit a tenant would have under the Residential Tenancies Act, being two weeks rent. We would only utilise the spending limit on any one item if we deemed there was a threat to persons or property if we did not proceed. Naturally we would endeavour to contact you and advise of the situation.
The Residential Tenancies Act restricts general inspections to 3 monthly intervals. We will conduct 3 internal inspections during a twelve month tenancy. You will be notified well in advance of the scheduled inspection to allow you the opportunity to accompany us on the inspection. A fully detailed report will be forwarded to you providing feedback and recommendations, if any.
Once again our adage "Prevention is better than cure" is appropriate for arrears management. Tenants are offered four ways of paying their rent to save them time and give them the opportunity to pay their rent 24 hours a day, 7 days a week.
The methods are :
- Direct Debit - on signing their tenancy agreement an authority is set up for us to debit their account fortnightly for the rental payments
- Phone - tenants can pay their rent by phone from their account directly into our Trust Account
- Internet
- Bank Cheque / Money Order
In our opinion these methods help eliminate rental arrears for our owners.
In the event a tenant does not meet their rental obligations our processes are swift and you will be kept informed at all stages through the process. We strictly follow the Residential Tenancies Act and act as quickly as the legislation permits. At one day in arrears a reminder letter is forwarded to tenants. We then follow up by phone calls or text messages. The legal process commences once the rent is unpaid for 7 clear days. We ensure you are kept informed throughout the process. We attempt to use a consultative yet legislative compliant approach and if the need arises we will prepare and present a case to the Small Claims Tribunal to have the tenancy terminated.
Our guarantee for letting commission safeguards you from paying unnecessary reletting costs if the tenancy is terminated due to non paying tenants.
We suggest owners consider coverage for loss sustained due to tenant negligence for additional peace of mind. Please note if you arrange coverage through AON a referral fee will be paid to our firm. Unfortunately despite our absolute best efforts we cannot control tenants 24 hours a day, 7 days a week nor can we control circumstances in their lives. A fully itemised statement will be sent to you at the end of each month. An email statement may also be sent through if requested. Essentially you receive two payments from us each month. We deposit rent money collected mid month and end of month electronically into your bank account. Your statements show as a Credit all rent money we have collected and as a Debit any payments we have made on your behalf. The statement shows a payment to owner, which can then be matched to your bank records.
Disputes can occur when tenants vacate a rental property, particularly if the property is not left to an acceptable standard. This can be overcome in the majority of cases by "beginning as you mean to end". This is why we place great emphasis on selecting the right tenant to move into the property. If the time is taken when the tenancy agreement is signed, the condition report completed and with regular inspections, the final inspection is reasonably straightforward. Tenants usually appreciate professional and hassle free service at the beginning and throughout their tenancy and are eager to arrange the bond refund with minimal delay. We provide tenants with a detailed checklist of items requiring cleaning and attention well before the day they move out. We arrange to meet the tenants for a comprehensive and documented inspection, encouraging small items of cleaning to be attended to on the spot. We also offer our owners the opportunity to inspect the property before the bond is refunded. Being property investors ourselves we conduct the final inspection on your property as if it were our own. Tenants do have the right to dispute deductions applied for from a Rental Bond hence we aim to reach agreement with a tenant by cultivating amicable relationships at all times.

Are we the cheapest in town? Probably not nor do we aim to be, as sustainability of our service is the key to providing exceptional quality service. Our charges are very competitive and we certainly are not the most expensive as a package. On the other hand, we charge a fair fee for a tremendous service.
Letting the Property
- For tenancies negotiated for less than 12 months, one week's rent plus GST
- For tenancies negotiated for more than 12 months, 5% on the first year's annual rent plus GST

Reimbursement of Expenses
Your property will be promoted complimentary using all techniques previously discussed however we do appreciate reimbursement for print advertising costs in The Queensland Times and Ipswich's Own. These will be charged at cost however will never exceed $120.00 per let, after which we will absorb the cost.
An overall charge of $7.00 plus GST being $7.70 per month will be charged to local owners to cover bank charges for processing rent and payments and costs associated with legislative compliance on your behalf.
Interstate and Overseas Owners will be charged an amount of $9.90 per month.
Reimbursement of Court Lodgement Costs in the event you require us to represent you in the Small Claims Tribunal. These vary in cost of between approx. $13.00 to $50.00 depending on the claim. Preparation of the case and representation in Small Claims is complimentary and part of the overall management fee.
Many agents quote GST incorrectly. If comparing prices please check the total GST inclusive cost and look for extra charges not incorporated in the overall management fee such as, tenancy renewal charges, periodic inspection charges, court attendance charges and maintenance charges, which are all part of our management package.
We are prepared to back ourselves! If at anytime we do not meet your expectations please let us know in writing and we will refund one month's management fee to you the following month. If you choose to change the management of your property we will refund an additional 3 month's management fee and finalise your file within 30 days of being notified of your desire to cease using our management services.
